We are delighted to be working with the team at Queensland Fertility Group. This is a maternity leave contract, open to two part-time professionals who will job share this busy and rewarding role.

Specific Responsibilities/Accountabilities:

1 Respond to public enquiries via telephone or website emails and convert to doctor appointments or attendance at public information events.

2 Initial screen of all incoming donor enquiries (potential donors and recipients) and triage to local donor team. Advise marketing manager if potential donor enquiry number reduce requesting need for further promotional activity.

3 In consultation with the Marketing manager prepare and maintain the annual schedule of events (minimum 2 per month general fertility, donor, fertility preservation) to fulfil demand from potential patients and various consumer groups (i.e. different languages)

4 Coordinate and attend public information events (PIEs) as the autonomous clinic representative to convert attendees to doctor appointments. Includes preparing handout and evaluation materials; undertaking follow up next day of attendees with aim to set up appointments; and managing email & mobile phone reminders

5 Report on attendance and effectiveness of events and suggestions and implementation of improvement initiatives. Review the logistics and results of the PIEs (analyse the attendee survey) make recommendations for continual improvement and overall strategy in conjunction with the Marketing manager & presenting doctors.

6 Ensure the presentation for all public information events are of a high standard; coordinate presenting doctor and provide feedback

7 Data entry in Salesforce CRM database to record all enquiries (produce the automated reports from the enquiry force monthly) review the key performance indicators based on volume and make suggestions to increase promotional activity if need be.

8 Analysis and management of 1800 call flow / waiting time / missed calls to ensure maximum capacity to respond to calls. 9 Have a thorough understanding and working specialist knowledge of Virtus Health’s approach to fertility care and the patient management system to facilitate response to enquiries and doctor appointment.

9 To assist in monitoring local patient Fertility FORUM including liaising with Clinics regarding promotion of the service to new members, adding new members to the forum, daily monitoring of the site to ensure derogatory/negative statements managed/removed, proactively contributing to the development of the Forum.

10 Manage collateral stock levels and liaise with clinic staff, marketing and sales team regarding replenishment.

11 Develop strong stakeholder relationships with all clinical, nursing, administration and scientific staff within local state

12 To participate in and contribute to work groups established from time to time focused on areas of significance to the broader interests of Virtus but not necessarily directly related to
